  • Overview

    HR Operations team is responsible for the development and delivery of HR services and information to employees, managers, and HR staff throughout the organization. The HR Operations Analyst will support the Human Resources department on operational and administrative processes in the employee lifecycle as well as address basic inquiries from staff across the organization. The HR Operations Analyst will partner directly with all HR functional teams (HR Business Partners, Total Rewards, and Talent Management). The position will report directly to the Head of Total Rewards.

    Responsibilities

    RECRUITING & ONBOARDING

    • Supports the hiring process by working closely with Recruiting to post requisitions, schedule interviews, and provide logistical support during on-site interviews
    • Owns the operational end of the new hire onboarding process by partnering with Recruiting, Talent, IT, Office Services and other functions to prepare the building and system access, technology, on-boarding paperwork
    • Administers accurate and timely data entry of new hire information (such as employee ID, DOB) into internal systems
    • Processes and maintain I-9 documents to ensure compliance with local regulations

     

    SUPPORTING HR INFRASTRUCTURE

    • Develops, maintains, and updates all HR standards, operating procedures, processes, policies, and playbooks
    • Manage all HR vendor relationships, contracts, and processes
    • Updates company-wide and department-specific organizational charts with new hires, transfers, and terminations on monthly basis
    • Manages intra-company moves (such as lateral or promotional moves) and notifies various internal departments (HR, IT, Compliance, Office Services, Reception, etc.,) of all employee status changes
    • Assists employees with interpretation/understanding of company policies and responds to inquiries and concerns
    • Responds to internal and external HR related inquiries and provides assistance
    • Facilitates the Verification of Employment process
    • Partners with Talent, Total Rewards, and HRBPs on projects including compensation planning, internal audits, and the annual Affirmative Action Plan
    • Support larger HR initiatives by ensuring continuity and successful delivery of functional services
    • Oversee Reception on a rotational basis

     

    ENGAGING & RETAINING

    • Leads employee engagement initiatives and process improvements to promote a high performance culture
    • Drafts organizational announcements to update employees on new HR processes, systems, services, and business information

     

    REWARDING

    • Supports the Total Rewards team with both standard and recurring processes related to Compensation, Benefits, Payroll, and reporting
    • Help ensure proper handoffs between HR and Finance including meeting all deliverable dates

     

    OFF-BOARDING

    • Facilitates the voluntary and involuntary termination processes by working with IT, Office Services and other functions to turn off building and system access, technology, preparing off-boarding paperwork and partnering with the HR Business Partner(s) to plan and execute off-boarding activities
    • Manages the exit interview process, identifying opportunities and areas of concern requiring follow-up

    Educational and Experience Requirements

     

    • Bachelor’s degree in human resources, business administration, organizational development, project management, or a related degree required
    • 3 – 5 years of experience in HR Operations, Employment Relations, HR Generalist, Project Management, or a similar function required

    Strong Knowledge of MS Office, HRIS systems and process improvement techniques required
